How we handle your personal data

Privacy policy

This privacy policy explains what personal data Rentivio collects when you visit or use the platform, why we process it, on what legal basis, with whom it is shared, how long it is kept and how you can exercise your rights. It is issued in accordance with the EU General Data Protection Regulation 2016/679 (GDPR) and Greek Law 4624/2019, and applies to every visitor and member, whether owner, operator, management company, cleaning partner, insurance broker or furnisher.

1. Who is responsible for your data

Rentivio is the data controller for the personal data processed through the platform, except where this policy states that another organisation acts as an independent controller. For any question about this policy or to exercise your rights, contact us at rentivio.gr@gmail.com. We have not appointed a Data Protection Officer, as we are not required to; our team handles data-protection requests directly.

2. The personal data we collect

Account data: your email address, first and last name, the role you register with, and your password, which is stored only as a one-way cryptographic hash. Profile data: your phone number, your location and any professional details you add. Listing data: the area, address, description, rent, lease terms, facilities and photographs of a property you publish. Portfolio data: the homes, business figures, description and documents you add to a portfolio you offer for sale, and the offers you make on one. Identity verification data: photographs of your identity card or passport, if you choose to verify your identity. Activity data: the deals, unlocks, offers, quotes, viewings, rent records, saved searches, ratings, chat messages and notifications you create or receive. Payment data: the amount, date and order number of each payment to Rentivio; your card or PayPal account details are entered directly with PayPal and never reach us. Technical data: the pages you view, the website that referred you and, for security, your IP address and browser information, as described in sections 3 and 9.

3. Why we use your data and our legal basis

Performance of a contract (Article 6(1)(b) GDPR): to create and manage your account, publish your listings, show you other members' listings, put you in contact with the members you choose to work with, process unlocks and credit packs, and deliver chat and notifications. Legal obligation (Article 6(1)(c)): to keep payment records required by tax and accounting law and to answer lawful requests from public authorities. Legitimate interests (Article 6(1)(f)): to keep the platform secure, prevent fraud, spam and abuse, limit repeated sign-in and registration attempts, moderate content, verify identities, resolve disputes, and measure visits in aggregate so we can improve the service; we only rely on this basis where our interests are not overridden by your rights. Consent (Article 6(1)(a)): to remember your language preference on your device. You may withdraw consent at any time, without affecting the lawfulness of processing before withdrawal. Consent (Article 6(1)(a)): to share your name and contact details for a deal with the kinds of partners you choose, such as cleaning teams, insurance brokers, furniture suppliers or organisations. Consent is off by default, given per deal and per kind of partner, and you can withdraw it at any time from the deal; withdrawing stops any new partner from reaching you but does not undo contact already made. We keep a log of each answer, with the date and the version of the wording you saw, for as long as your account exists, and erase it when you close your account.

4. Identity documents

Identity verification is optional. The photographs you upload are used only to confirm that you are who you say you are and to award the Verified badge. They are visible only to Rentivio moderators, are never shown to other members or shared with third parties, and are stored in private storage that is reachable only through short-lived links issued to authorised staff. Please upload only the document itself and avoid unnecessary data where possible. Your documents are deleted when you close your account.

5. What other members can see

Published listings, including their photographs, area, rent and terms, are visible to visitors and members of the platform. Your name, role, Verified badge and ratings appear next to your listings, offers and messages. Your phone number and email address are disclosed only to a member who unlocks your listing or with whom you have a deal, so that you can agree terms directly. Please do not publish sensitive personal data, such as health information, in listings or messages. Cleaning teams, insurance brokers, furniture suppliers and organisations can see your name and contact details for a deal only if you agreed to hear from that kind of partner for that deal.

6. Who we share your data with

We do not sell your personal data and we do not use it for advertising. We share it only with: the members you choose to deal with, as described in section 5; service providers that host our servers, store files and deliver our emails, acting as processors under a written agreement and only on our instructions; PayPal, which processes your payment as an independent controller under its own privacy statement; OpenStreetMap, whose servers receive your IP address when they deliver map tiles to your browser; and courts, public authorities or professional advisers where the law requires it or where necessary to establish, exercise or defend legal claims.

7. International transfers

We aim to process your personal data within the European Economic Area. Where a service provider processes data outside the EEA, as PayPal may do, the transfer takes place only on the basis of an adequacy decision of the European Commission or of Standard Contractual Clauses approved by it, together with any supplementary measures required.

8. How long we keep your data

We keep your account, profile, listings, activity and identity documents for as long as your account is open. When you close your account, or a moderator removes it, this data is permanently deleted, as described in our terms of use. Accounts that are never verified by email are deleted automatically. We retain only an anonymous record of each completed payment (order number and date) for as long as tax and accounting law requires, and the moderation log, which refers to your account only by an internal number. Page-view statistics are kept without your name, email or IP address.

9. Cookies, local storage and visit statistics

Rentivio uses no advertising or third-party analytics cookies. Strictly necessary browser storage keeps you signed in and records your cookie choice; the preference storage that remembers your language is used only with your consent. You can change your choice at any time from Cookie settings at the bottom of every page. To count visits, our own servers record the page you view, the website that referred you and a visitor code computed from your IP address and browser information combined with a secret value that changes every day. Your IP address itself is not stored, and the code cannot be used to recognise you on another day. When you pay, PayPal may set its own cookies, governed by its cookie policy.

10. How we protect your data

We apply appropriate technical and organisational measures, including encrypted connections, hashed passwords, short-lived sign-in tokens, limits on repeated sign-in attempts, role-based access restricted to staff who need it, and private file storage reachable only through time-limited links. No system is perfectly secure; if a personal data breach is likely to put your rights at risk, we will notify the Hellenic Data Protection Authority and, where required, you, within the time limits set by law.

11. Your rights

Under the GDPR you have the right to access your personal data, to have it rectified, to have it erased, to restrict its processing, to receive it in a portable format, to object to processing based on our legitimate interests, and to withdraw consent at any time. You can update most details from your profile, download a copy of your data from the Account & security tab of your profile and close your account there to erase it. For any other request, email rentivio.gr@gmail.com; we may ask you to confirm your identity and will respond within one month, which may be extended by two further months for complex requests. Exercising your rights is free of charge.

12. Your right to complain

If you believe that we process your personal data unlawfully, you may lodge a complaint with the Hellenic Data Protection Authority, 1-3 Kifisias Avenue, 115 23 Athens, Greece, www.dpa.gr, or with the supervisory authority of the EU country where you live or work. We would appreciate the chance to address your concern first, so please contact us before you do.

13. Automated decisions and minors

We do not make decisions that produce legal or similarly significant effects on you based solely on automated processing, including profiling. Rentivio is a professional platform intended only for adults; we do not knowingly collect data from anyone under 18. If you believe a minor has provided us with personal data, contact us and we will delete it.

14. Changes to this policy

We may update this policy when our services, our providers or the law change. The current version is always published on this page with its last-updated date. Where a change materially affects how we process your personal data, we will inform you through the platform or by email before it takes effect.
